All about Prospects Net

Welcome to Prospects Net the Careers Services vacancy administration service. This system is run by Graduate Prospects on behalf of the Careers Services. It allows recruiters to post adverts (vacancies) direct to Careers Services websites.

Using the system

It's user friendly, logical and straightforward. New functionality will be added as a result of feedback from recruiters and the Career Services. Here's a brief guide on how it works now.

Register

  • You need to register to use the system.
  • Use the "Register now" link to do this.
  • You need to give some basic company details and contact information and choose a username and password.
  • When you register you'll be sent a welcome email that'll invite you to login. So please use a valid email and enter it correctly.

Login and Logout

  • Use your username and password to login at any time.
  • You can change your password when you are logged in (Acount details/Change password).
  • If you forget your registration details, use the "Forgot username or password" function available on the login page or from the link on the home page. Simply enter the email you are registered with and we'll send your registration details afresh.
  • To logout (logoff) either close down the browser window or use the "Logout" link that runs down the right hand side of each page.

Basics

  • The pages have explanatory text to help take you through the processes. Additional help text available by hovering over the "?"s.
  • The main menu page uses two sets of basic functions: My adverts and Account details.
  • There are also quicklinks "Create a new advert" and "Show my adverts" to help you get started.
  • If you get lost use the "main menu" link that runs down the right hand side of each page to get back to the main menu page.

Users

  • Each company registration can have more than one user.
  • All users using the same company registration can see the advert and employer profile data entered by any other user from that company registration.
  • The first registered user is by default a supervisor.
  • There can be more than one supervisor.
  • Supervisors can manage other users (Account details/Manage users) and alter their company registration (Account details/Organisation details).
  • When supervisors create new users the system will generate them passwords and email them their details. So please use a valid email and enter it correctly. New users are encouraged to change their password when their first login.

Employer profiles

  • By default we set up one employer profile which can be used to post adverts immediately.
  • Create other employer profiles (My adverts/Manage employers) to work with different parts of your company or as an agency posting on behalf of other companies.
  • If you use other employer profiles and want to quickly identify corresponding adverts you will find it useful to select the relevant employer profile.

Creating vacancy adverts

  • Either follow quicklink "Create a new advert" or use My adverts/New advert.
  • Enter the details in the appropriate boxes.
  • Check spelling and grammar of your vacancy details carefully.
  • Use user-friendly and jargon-free language in your vacancy details.
  • Use lowercase letters in your vacancy details except where initial capitals are appropriate.
  • Please use optional fields (eg "Person Requirements", "Degree Requirements", "Job start date") where possible as this gives a better service to the job seekers and may make your advert easier to read and get you a better response. If you don't use them the Careers Services may contact you for clarification and your posting will be delayed.
  • Please code your advert's location, type of work and subject area appropriately so that it is found by job seekers using the website searches.
  • You can create new adverts from scratch or use the "Copy" function on existing ones.
  • You create adverts in a step-by-step process. After any of the steps you can save, logout and come back to do the rest later. You will find incomplete and unposted adverts in your Draft folder.
  • Once you have completed the advert, you can preview it and correct mistakes and then once you are happy you can post it.
  • When you "Post" adverts they go into your Current folder.
  • When you "Remove" adverts or they become expired they go into your Archive folder.
  • You can "Delete" adverts from your Achive or Draft folders.
  • You can edit and repost adverts that have already been posted.

Admin contact

  • You should always enter a valid admin contact just in case the Careers Service has a problem with your advert and needs to contact you.

Advert posting

  • Adverts get posted out every 30 minutes to the Careers Services websites. Careers Service staff will review the advert and make it live, or they may contact you for further information. Once live job seekers will see you advert.
  • If you "Edit" an advert after posting it, your changes will be sent to the Careers Service website within 30 minutes.
  • If you "Remove" an advert, it will be removed from live searches within 30 minutes and moved to your Archive folder.

Posting Status

  • This reflects the state of play of your posted advert. It is updated every 30 minutes.
  • Here are the different statuses:
  • Sending - advert will be sent to the Careers Service website shortly.
  • Received - advert has been received by the Careers Service website.
  • Live - advert has been made live by the Careers Service webste and can be seen by job seekers.
  • Archived - advert has been archived on the Careers Service website and can no longer be seen by job seekers (this automatically happens when the advert passes its "show until" date).
  • Deleted - advert has been deleted by the Careers Service website and can no longer be seen by job seekers.

Multiple posting to local Careers Services

  • If the Careers Service is part of a local vacancy sharing scheme (eg many Universities in Scotland), you may be able to post your advert to more than one Careers Service website in a single operation and check status and receive statistics for each Careers Service website that you post to. If this is the case this will be made clear during the process.

Multiple posting to UK Careers Services

  • At the end of the process of creating an advert participating Careers Services will allow Graduate Prospects to offer you the option to post your vacancy to all or a selection of Careers Services nationally in the UK. Graduate Prospects will charge you a small handling charge online to do that. If you chose this option, the charge will be made clear during the process. The charge will be collected by credit card.

Posting to Prospects.ac.uk

  • At the end of the process of creating an advert participating Careers Services will allow Graduate Prospects to offer you the option to post your vacancy to prospects.ac.uk. Graduate Prospects will charge you the standard commercial fee online to do that. If you chose this option, the fee will be made clear during the process. The fee will be collected by credit card.

Statistics

  • For each advert we show you how many times it hs been viewed and by how many different job seekers.
  • These statistics are updates several times each day.
  • There are one or two Careers Services sites that receive vacancies posting using Prospects Net but are not full Prospects Net users and these unfortunately can't return these statistics.

Job alert emails

  • As well as being searchable on the Careers Service website your adverts will be sent out via job alert emails to the appropriate job seekers.

Privacy

Your data will be held securely and confidentially within Prospects Net and only passed on to those Careers Service websites that you opt to work with.

The fact that you post an advert to a Careers Service website means you choose to enter into a normal B2B relationship with that Careers Service.

When you first register your company we ask this question: "Allow Careers Services to view your organisation's details?" We haven't any functionality that uses this at present. But it is envisaged that Careers Services may canvas recruiters who are in the system but have not as yet posted adverts to them to do so or to avail of other services. If we do introduce this functionality we will allow you the means to alter you response to this question online.

When each user registers we ask if you'd like to receive our employer recruitment newsletter, Brighter Prospects. You can alter your response to this question online in My details/Personal details or My details/Newsletter subscriptions at any time.

You can opt in/opt out to receive other information about other services at the same online locations.

Terms and conditions

Graduate Prospects does not charge companies to register or post adverts to this Careers Service.

The system is to be used to post relevent, suitable and accurate adverts to this Careers Service.

If you use the sytem to post adverts the Careers Service reserves the right to:

  • refuse to display the advert
  • display the advert for different dates than requested
  • modify the details of the advert

Some local university Careers Services charge certain companies to post certain adverts. Collection and gathering of such payments are outside the scope of this system. You will be contacted by this Careers Service if payment is required.
